Work through the review
A receipt capture demo is only the start. Your team needs an expense to reach the right approver, retain its supporting document and arrive in the accounting workflow with the right fields. Use the same invented expense pack in each trial and record where a person must intervene.
Define the expense pack
Prepare invented examples representing your normal work: a readable receipt, an unclear one, a duplicate, an expense in another currency and a correction after submission. State the expected amount, date, currency, cost centre and owner for each. Use your finance team to define the expected handling; the trial is about software behaviour, not a determination of tax treatment. Keep the same examples across vendors so differences in input do not become differences in results.
Follow the approval path
Create separate employee, reviewer and finance roles. Submit an expense, reject it with a reason and have the employee correct it. Test delegation when the usual reviewer is unavailable. Check whether a person can approve their own submission and whether access extends beyond their assigned team. Save the observed behaviour with the tested plan and settings. A screenshot from a vendor demo does not establish the permissions in the edition you intend to purchase.
Test the accounting handover
Export the approved sample and ask the person responsible for accounting to read it. Reconcile amounts, currencies, cost centres, payment methods and receipt references with the original pack. If the workflow uses an integration, run the same sample through its test environment where available. Then repeat the transfer to see how duplicate processing is handled. Record the recovery steps for a failed transfer and who owns the exception queue.
Keep a usable record after a change
Correct a sample after its first export and inspect the resulting history. Ask how your team obtains receipts and associated records when a colleague leaves or an account is closed. Test an export with attachments and have another reviewer locate a selected expense without the original session. Ask the responsible internal owner to set the required retention and access rules. Public documentation helps identify the questions; it cannot decide those rules for your organisation.
Compare scope and cost together
Request the price for the same users, entities, approval paths and integrations. Separate subscription charges from payment services, setup and optional assistance where these appear in the offer. Ask how active users or submitted reports are counted. Include finance administration and migration in your cost assumptions. Close the trial with an acceptance decision for each task, an owner for open items and the evidence needed before rollout.
Source and scope
Spesenfuchs documents receipt capture, approval workflows and accounting exports as separate features. We use that distinction to frame an independent trial checklist, not to recommend this vendor or verify its product claims.
