What could fewer seats change?
See where paid seats go. Keep essential capacity and account for the time before your contract allows a change.
Illustrative example
20 seats to review
- Observed use70
- Additional seats to retain10
- Review with the owner20
- Without a seat change
- 24,000.00
- With the modelled change
- 20,400.00
- Potential cost difference
- 3,600.00
Same currency as your input. 9 of 12 months allow a lower seat count in this scenario.

Formula and limits
Seats to review = paid seats − seats with observed use − additional seats to retain. Potential difference = seats to review × monthly price × months after a possible reduction.
The example retains 80 of 100 seats at 20 per month. A change after 3 of 12 months gives 20 × 20 × 9 = 3,600 in potential cost difference. The first three months still use the original quantity.
The model holds prices and quantities constant, assumes any reviewed seats can all be removed on the same date, and excludes refunds, taxes, price tiers, implementation costs and usage charges. The result is a scenario, not a confirmed saving. Unobserved activity does not prove that a seat is unnecessary.
