Work through the review
Start with a small set of subscriptions whose owners and invoices you already know. Include one annual commitment, one monthly subscription, a shared account and a service that is used only during a busy season. A useful trial should explain where every result came from and what action your team can take. Define which systems the tool may read before granting access.
Separate software spend from payment workflows
SaaS spend management tracks software contracts, licences, usage and renewals. Expense management may instead focus on employee purchases, cards, receipts and reimbursement. Some products cover both, but the category name does not establish the scope. Write down the task you need to complete and ask for that exact workflow in the trial. Record any additional module or service needed to finish it.
Reconcile a known subscription from end to end
Start from a real-looking test invoice and follow it to the supplier, application, legal entity, owner and agreement. Include a reseller invoice or a suite with several products so that a simple name match is not enough. Check how duplicates, credits and currency differences are presented. Keep the original amount and period visible alongside any monthly allocation. A normalised dashboard should still let a reviewer reconstruct the underlying bill.
Test the meaning of unused
Ask which event counts as use, what period is covered and when the connector last succeeded. Compare an active employee, a seasonal user and an integration account. Disconnect a test source and verify that the tool reports missing coverage rather than treating every account as unused. Require the service owner to review proposed removals. Put the assumptions into the license calculator before discussing a lower quantity.
Turn a renewal alert into an owned action
Enter a test renewal with a notice deadline that differs from its end date. Assign an owner, change the planned quantity and export the supporting record. Check whether the alert includes the agreement and who may edit its dates. Then remove the integration and inspect the exit export. Your decision file should survive a change of platform, including unresolved questions, source dates and the reason for the chosen quantity.
Source and scope
The FinOps Foundation connects licence use, purchasing terms and renewal review. Our trial below is an editorial way to test those workflows in a software tool; it does not estimate your actual savings.
