Project and work management tools, ranked by what they publish about how they handle your data.

Public transparency score, not a product or security rating. Transparency means: published on the vendor's own site, readable without a login, found by us at the addresses we checked.

Before the demo

Buying project software: test a handover and an exit

Start with the work your team needs to coordinate: ownership, dependencies, external collaborators and the information that must survive a handover. A transparency score cannot establish whether a scheduling model fits your team. Use an invented project with a realistic structure in every trial.

Guests and responsibility

Invite an external collaborator to one project. Test whether they can see other projects, attachments or people, and who can transfer ownership when a colleague leaves. Ask which guest actions require a paid seat and which permissions are plan-specific.

Dependencies and change

Move a milestone that has several dependent tasks. Ask the vendor to show which dates move automatically, which need approval and what appears in the audit history. Decide whether your team needs a simple task list or a scheduling system before comparing prices.

Portable project history

Export the sample project and inspect tasks, owners, dates, custom fields, dependencies, comments and attachments separately. Ask whether files are included or referenced, and whether a second workspace can reconstruct the project from the export.

Full trial checklist and CSV worksheet

A trial you can repeat

Use a project with a milestone, two dependent tasks, one custom field and a guest attachment. Reassign its owner, move the milestone, export it and document which parts can be reconstructed without the original account.

Asana documents project exports in JSON and CSV. A format name alone does not prove that your complete project can be restored; inspect the exported fields and test the destination workflow. Asana: importing and exporting projects. Source reviewed 2026-10-01. The trial questions are editorial guidance, not additional measured criteria.

Narrow it down

Each of these lists the Project management vendors that meet one condition, with the source for each, and appears only where at least 8 of them meet it.

Shared dependencies

12 of 12 Project management vendors whose subprocessor list we could read name Amazon Web Services on it, that is 100 %.

Of the 12 Project management vendors whose subprocessor list we could read, these names appear on the most of them. A vendor without a published list cannot be missing from one, so it is not in the denominator.

Named on the list ofVendorsShareWhat that says
Amazon Web Services 12 100 % 12 of 12 Project management vendors whose subprocessor list we could read name Amazon Web Services on it.
Mailgun 7 58 % 7 of 12 Project management vendors whose subprocessor list we could read name Mailgun on it.
Slack 6 50 % 6 of 12 Project management vendors whose subprocessor list we could read name Slack on it.
Zendesk 6 50 % 6 of 12 Project management vendors whose subprocessor list we could read name Zendesk on it.
Microsoft Azure 4 33 % 4 of 12 Project management vendors whose subprocessor list we could read name Microsoft Azure on it.
Cloudflare 3 25 % 3 of 12 Project management vendors whose subprocessor list we could read name Cloudflare on it.
Datadog 3 25 % 3 of 12 Project management vendors whose subprocessor list we could read name Datadog on it.
Google Cloud 3 25 % 3 of 12 Project management vendors whose subprocessor list we could read name Google Cloud on it.

This is a naming, not a dependency. A name on a subprocessor list means the vendor published it there. Whether anything actually runs on it, how much of it, and what the fallback is, is on none of these pages. What the figure does show is concentration: if three of your four candidates name the same provider, you have one path and not four.

Head-to-head comparisons

Each comparison lists only the criteria where the two differ, with the source for every one. All comparisons.

Every result links its source on the vendor page. A grey segment means we could not measure it, not that it is missing. See how we score.
